Service Anniversary Awards: Plan a Year of Orders

Every anniversary in next year's program is already in your HR system. Order the whole year from that list instead of chasing awards one ceremony at a time.

This guide covers milestone tiers, the name list, ordering dates and cost for an acrylic service award program. Material choice between acrylic, crystal and glass has its own guide.

Key Takeaways

  1. Service anniversaries are predictable: hire dates tell you next year's 5-, 10-, 15-, 20- and 25-year recipients now, so a whole year can be ordered in one run.
  2. A different name, year or date on each piece does not create a new design, so one award design with a full name list counts toward a single 100-piece minimum.
  3. For a December ceremony with awards in hand by December 11, 2026, send the brief by about October 22 and ship by air; regular sea freight for that date needed a brief in late September.
  4. Published reference: a 100 × 60 × 20 mm clear logo block with full-color UV print is $12 each at 100 pieces, $9 at 250 and $7 at 500, FOB Shenzhen.
  5. U.S. tax rules treat a length-of-service award differently in an employee's first 5 years, which is one reason many programs start their tiers at 5 years. Confirm with your tax adviser.

Why service anniversary awards are easy to plan a year ahead

Service anniversary awards recognize employees at fixed points in their tenure, such as 5, 10 or 25 years. Unlike sales or performance awards, the recipients are known in advance: every hire date is already in your HR system. Pull next year’s list now and one production run can cover the whole year’s ceremonies.

That changes how the program is bought. Instead of a rush order before each ceremony, the HR or office team makes three decisions once a year: which formats go with which milestone, how names get onto each piece, and the date the awards must be in hand. The supplier then makes one sample, one approved name list and one run.

A yearly run also keeps the awards consistent. Pieces from the same sheet batch, the same engraving settings and the same approved sample look the same at the January ceremony and the November one, which is hard to guarantee when each quarter is ordered from scratch.

Milestone tiers: which award for which year

Most programs step up the award as tenure grows: a compact desk piece for early milestones, a larger plaque in the middle, and a heavier solid block for 20 years and beyond. Acrylic covers all of these from one factory, so the tiers can share the same logo treatment and finish while the size and thickness change.

A typical tier plan:

MilestoneCommon acrylic formatTypical spec to quote
1 or 3 yearsDesk nameplate or small logo block200 × 50 mm nameplate, or 100 × 60 × 20 mm block
5 yearsFlat plaque on a slot base150 × 200 mm, 5 mm clear, UV print or engraving
10 yearsLarger plaque, layered face200 × 250 mm, clear face over a colored back panel
15 yearsPlaque with metallic hot stamping200 × 300 mm, 8–10 mm, gold or silver foil
20 and 25+ yearsSolid block award in a presentation box25–50 mm thick block, diamond-polished, velvet box

The sizes come from the ranges on our acrylic plaques page and the block references on the acrylic logo blocks page. Treat them as starting points for your quote, not a fixed menu.

Why so many programs start at 5 years: under U.S. federal tax rules, an employee achievement award for length of service must be tangible personal property presented as part of a meaningful presentation,1 and an item received during an employee’s first 5 years, or within 4 years of a previous length-of-service award, does not count as a length-of-service award for the exclusion.2 A plaque or block is tangible property; gift cards are not. Tax treatment is your adviser’s call, but it explains the 5-year rhythm many HR teams already use.

One design or one design per tier

Our production minimum is 100 pieces per design, and a different name, title, year or date on each piece does not create a new design. One award design with the year as variable text can therefore cover every tier in a single 100-piece minimum. A different size, shape or artwork for a tier is a separate design with its own 100 pieces.

Count your list before choosing. A list of 140 milestone awards next year can run as one design. Splitting the same 140 awards into five differently shaped tiers would need 500 pieces to meet five minimums, which rarely makes sense.

A practical middle route uses two designs:

  • One flat plaque design for 1 to 15 years, with the milestone year, name and date printed as variable text.
  • One solid block design for 20 years and beyond, if those recipients together with spares reach 100 pieces, or if the block is ordered every second year to build the quantity.

If the senior tier is small, keep it on the plaque design and change the variable text and the box instead. A velvet-lined presentation box does more for a 25-year award than a new shape that has to meet its own minimum.

Names on every piece: the list that goes to production

Names are printed or engraved from a spreadsheet, not typed by hand. Send one row per award with the exact spelling, the milestone year, the date line and the tier. The longest name sets the font size for the whole design, so mark it, and include any accents or non-English characters exactly as they must appear.

Columns that keep a name-per-piece order clean:

ColumnExampleWhy it matters
Award ID2027-005-031Matches each piece to its box label at packing

Milestone10 Years of ServiceText exactly as it should read

UV printing handles a name list natively, and laser engraving can also do it, more slowly per piece. For name-per-piece orders the paid sample includes 2–3 awards with different names, so you can check spelling, alignment and the longest name on the real material before production. Lock the list on the date you approve the sample; names added after that go into the next run.

Work back from the ceremony date

Start from the date the awards must be in your hands, then subtract transit, production and the sample. For awards in hand by December 11, 2026 and shipped by air, the latest brief date is about October 22. The same date by regular sea freight needed a brief around September 29, so December programs not yet started should plan on air.

The back-plan, using our published sample and production times and our planning transit estimates:

StepDaysAir: dateRegular sea: date
Brief, quote and artwork proofabout 5Oct 22Sep 29
Paid sample made3–5Oct 27Oct 4
Sample couriered and your reviewabout 5 + 3Nov 1 to Nov 9Oct 9 to Oct 17
Production after approval15–20Nov 9 to Nov 29Oct 17 to Nov 6
Transit after dispatchair 10–12, sea about 35Dec 11Dec 11

The proof and review days are planning assumptions; your quote confirms the real dates. For January and February ceremonies, remember that Chinese New Year falls on February 6, 2027 and factories in China close for it, so get the sample approved and production finished before the holiday. Our production lead times guide explains when the production clock starts.

When the date is tight, we have shipped faster. A delivered rush order of 400–450 engraved awards reached the client’s door in 19 days by expedited air, but that is a rush plan, not a yearly program’s default.

What service awards cost at 100, 250 and 500 pieces

Our published reference for a desk block is a 100 × 60 × 20 mm clear logo block with full-color UV print: $12 each at 100 pieces, $9 at 250 and $7 at 500, FOB Shenzhen. A service award built on that block starts from the ladder, then adds lines for names, a base or box and packing.

QuantityPublished reference (FOB Shenzhen)What changes on a service award
100 pieces$12 eachName list, box and any second print method quoted from your spec
250 pieces$9 eachSame parts; setup spread across more pieces
500 pieces$7 eachMaterial, polishing and packing dominate

On a delivered order, 400–450 solid clear awards about 28 mm thick, laser-engraved with a two-color UV-printed wordmark, came to USD 6–9 each FOB Shenzhen. Plaques have no published ladder because size and thickness move the price most: a 150 × 200 mm plaque in 5 mm acrylic costs a fraction of a 300 × 400 mm plaque in 10 mm.

What moves a service award away from the reference: a larger or thicker piece, hot stamping or a second print method, a slot base or standoffs, velvet-lined presentation boxes, and custom-printed packaging, which adds 7–10 days. Names on each piece carry no extra setup fee per name on plaque programs. The paid sample costs USD 200–500 depending on complexity, is paid separately and is never credited to production.

Send a service award RFQ

A complete service award brief gets a quote within 24 hours. Send the tier plan and the quantity per design, not only the total headcount, so the quote shows which designs reach the 100-piece minimum and what each line costs.

Include these items:

  1. Milestone tiers and the number of awards per tier for the year.
  2. The format and size for each design, or a photo of an award you like with the size marked.
  3. Logo files as production-ready vector artwork, and the text layout for name, milestone and date.
  4. Print or engraving preference, and any foil color.
  5. Base, box and packing, including whether pieces are packed by office.
  6. Ceremony dates, destination and whether you want FOB Shenzhen or a delivered price.

We build from your artwork and do not redraw logos. As a maker of custom acrylic awards, we sample in 3–5 days, produce in 15–20 days after approval and inspect every piece against the approved sample before shipment. If you are still weighing materials, the acrylic vs crystal awards guide compares weight, clarity and cost.

Footnotes

  1. IRS Publication 15-B (2026), Achievement Awards — the IRS employer guide states that the achievement award exclusion applies to tangible personal property given for length of service or safety achievement as part of a meaningful presentation, not to cash or gift cards, with limits of $1,600 for qualified plan awards and $400 otherwise. ↩

  2. 26 U.S. Code § 274(j), Cornell Law School LII — the statute says an item is not treated as a length-of-service award if received in the recipient’s first 5 years of employment or if a length-of-service award was received that year or in any of the prior 4 years. ↩

Frequently Asked Questions

Does each employee name count as a separate design?

No. A different name, title, year or date on each piece of the same award is variable text, not a new design. The 100-piece minimum applies to the whole batch of that design. A different size, shape or artwork for a tier is a separate design with its own 100-piece minimum.

How far ahead should we order awards for a December ceremony?

About 50 days before the awards must be in hand if they ship by air. That covers quote and proof, a 3–5 day paid sample, courier and your review, 15–20 days of production and about 10–12 days in the air. Sea freight adds roughly three more weeks.

What do service anniversary awards cost?

Our published reference is a 100 × 60 × 20 mm clear logo block with full-color UV print: $12 each at 100 pieces, $9 at 250 and $7 at 500, FOB Shenzhen. Plaques, larger blocks, names on every piece and velvet boxes are quoted from your specification.

Can we see the names before the whole run is made?

Yes. For name-per-piece orders the paid sample includes 2–3 awards with different names, so you can check spelling, alignment and the longest name before production. The sample costs USD 200–500 depending on complexity, is paid separately and is never credited to the production order.

Should every milestone tier get a different award?

Not necessarily. One design with the year as variable text keeps the whole program in one 100-piece minimum. Use a second design, such as a thicker block, only for the senior tiers that need to look different, and check that each design reaches 100 pieces.
