## Why service anniversary awards are easy to plan a year ahead {#year-ahead}

Service anniversary awards recognize employees at fixed points in their tenure, such as 5, 10 or 25 years. Unlike sales or performance awards, the recipients are known in advance: every hire date is already in your HR system. Pull next year's list now and one production run can cover the whole year's ceremonies.

That changes how the program is bought. Instead of a rush order before each ceremony, the HR or office team makes three decisions once a year: which formats go with which milestone, how names get onto each piece, and the date the awards must be in hand. The supplier then makes one sample, one approved name list and one run.

A yearly run also keeps the awards consistent. Pieces from the same sheet batch, the same engraving settings and the same approved sample look the same at the January ceremony and the November one, which is hard to guarantee when each quarter is ordered from scratch.

## Milestone tiers: which award for which year {#tiers}

Most programs step up the award as tenure grows: a compact desk piece for early milestones, a larger plaque in the middle, and a heavier solid block for 20 years and beyond. Acrylic covers all of these from one factory, so the tiers can share the same logo treatment and finish while the size and thickness change.

A typical tier plan:

Why so many programs start at 5 years: under U.S. federal tax rules, an employee achievement award for length of service must be tangible personal property presented as part of a meaningful presentation,[^irs-15b] and an item received during an employee's first 5 years, or within 4 years of a previous length-of-service award, does not count as a length-of-service award for the exclusion.[^usc-274] A plaque or block is tangible property; gift cards are not. Tax treatment is your adviser's call, but it explains the 5-year rhythm many HR teams already use.

## One design or one design per tier {#designs}

Our production minimum is 100 pieces per design, and a different name, title, year or date on each piece does not create a new design. One award design with the year as variable text can therefore cover every tier in a single 100-piece minimum. A different size, shape or artwork for a tier is a separate design with its own 100 pieces.

Count your list before choosing. A list of 140 milestone awards next year can run as one design. Splitting the same 140 awards into five differently shaped tiers would need 500 pieces to meet five minimums, which rarely makes sense.

A practical middle route uses two designs:

- One flat plaque design for 1 to 15 years, with the milestone year, name and date printed as variable text.
- One solid block design for 20 years and beyond, if those recipients together with spares reach 100 pieces, or if the block is ordered every second year to build the quantity.

If the senior tier is small, keep it on the plaque design and change the variable text and the box instead. A velvet-lined presentation box does more for a 25-year award than a new shape that has to meet its own minimum.

## Names on every piece: the list that goes to production {#names}

Names are printed or engraved from a spreadsheet, not typed by hand. Send one row per award with the exact spelling, the milestone year, the date line and the tier. The longest name sets the font size for the whole design, so mark it, and include any accents or non-English characters exactly as they must appear.

Columns that keep a name-per-piece order clean:

UV printing handles a name list natively, and laser engraving can also do it, more slowly per piece. For name-per-piece orders the paid sample includes 2–3 awards with different names, so you can check spelling, alignment and the longest name on the real material before production. Lock the list on the date you approve the sample; names added after that go into the next run.

## Work back from the ceremony date {#timeline}

Start from the date the awards must be in your hands, then subtract transit, production and the sample. For awards in hand by December 11, 2026 and shipped by air, the latest brief date is about October 22. The same date by regular sea freight needed a brief around September 29, so December programs not yet started should plan on air.

The proof and review days are planning assumptions; your quote confirms the real dates. For January and February ceremonies, remember that Chinese New Year falls on February 6, 2027 and factories in China close for it, so get the sample approved and production finished before the holiday. ## What service awards cost at 100, 250 and 500 pieces {#cost}

Our published reference for a desk block is a 100 × 60 × 20 mm clear logo block with full-color UV print: $12 each at 100 pieces, $9 at 250 and $7 at 500, FOB Shenzhen. A service award built on that block starts from the ladder, then adds lines for names, a base or box and packing.

On a delivered order, 400–450 solid clear awards about 28 mm thick, laser-engraved with a two-color UV-printed wordmark, came to USD 6–9 each FOB Shenzhen. Plaques have no published ladder because size and thickness move the price most: a 150 × 200 mm plaque in 5 mm acrylic costs a fraction of a 300 × 400 mm plaque in 10 mm.

What moves a service award away from the reference: a larger or thicker piece, hot stamping or a second print method, a slot base or standoffs, velvet-lined presentation boxes, and custom-printed packaging, which adds 7–10 days. Names on each piece carry no extra setup fee per name on plaque programs. The paid sample costs USD 200–500 depending on complexity, is paid separately and is never credited to production.

## Send a service award RFQ {#rfq}

A complete service award brief gets a quote within 24 hours. Send the tier plan and the quantity per design, not only the total headcount, so the quote shows which designs reach the 100-piece minimum and what each line costs.

Include these items:

1. Milestone tiers and the number of awards per tier for the year.
2. The format and size for each design, or a photo of an award you like with the size marked.
3. Logo files as production-ready vector artwork, and the text layout for name, milestone and date.
4. Print or engraving preference, and any foil color.
5. Base, box and packing, including whether pieces are packed by office.
6. Ceremony dates, destination and whether you want FOB Shenzhen or a delivered price.
