## When to order custom Christmas ornaments: the short answer {#short-answer}

Order custom Christmas ornaments five to nine weeks before you need them in hand. The span depends almost entirely on freight: about 35 days from order to delivery by express, 42 by air, 55 by fast sea and 65 by regular sea. Those totals use the slow end of each published stage and assume no time lost to your own reviews.

Read the table from the right-hand date you need. If today is already past the sea date for your target, the choice is a faster freight mode or a later in-hand date, not a shorter production run.

## The stages behind the timeline {#stages}

A bulk ornament order moves through five stages, and only three of them run on the factory's clock. The other two depend on how quickly your side answers.

The calendar above counts 5 days for the sample, 5 days of express courier to get it to you, 20 days of production and the transit for each mode. It counts zero days for your proof and sample review. Every day your team spends on those approvals moves the in-hand date by a day, so book the review into a named person's diary before the sample ships.

## Start from the date the ornaments reach recipients {#in-hand-date}

The in-hand date is the day the boxed ornaments reach your office or warehouse, not the day of the holiday party or the day clients open them. If you are mailing ornaments to clients or members, count back from your own mailing cut-off and subtract the days you need to add cards, address mailers and hand them to the carrier.

Carriers publish holiday cut-offs every year. For 2026, USPS lists 17 December as the last recommended date for Ground Advantage and First-Class Mail to arrive in the contiguous United States before 25 December, and 9 December for most international services.[^usps-holiday] A team that needs two days to pack mailers and wants a margin before that cut-off is really working to an in-hand date in early December.

Corporate gifts handed out at December events follow the same logic: the in-hand date is the event date minus the days needed to distribute the ornaments to offices or tables.

## What moves the date {#what-moves}

Most holiday orders slip for the same few reasons, all on the buyer's side of the table. Settle these before the sample is built.

1. **Artwork that is not ready to cut.** Send vector artwork (AI, PDF or SVG) with the cut outline as its own path and the hanging hole marked. Artwork is supplied by you or your designer; we produce from it and do not design or redraw it, so a file that needs rework goes back to your designer.
2. **Several designs.** Each design is proofed and sampled on its own and carries its own 100-piece minimum. Associations and retailers often order a set, one design per team or theme; send every design at once so the samples are built together.
3. **Name and year lists.** Changing only names, years, dates or locations on one artwork is variable text, not a new design, and the 100-piece minimum covers all personalized pieces together. Send the complete, checked text list before production, because a late correction to one name means reprinting that piece.
4. **Packaging.** Individual gift boxes, OPP bags and insert cards change packing time and unit price. Name the packing format in the first brief.
5. **Changes after approval.** The approved sample is the production standard. Changing color, size or layout after approval means a new sample, and the calendar restarts from that point.

## Choosing freight for a holiday order {#freight}

The transit figures in this guide are planning estimates after the goods leave the factory: regular sea about 35 days, fast sea about 25, air 10–12 and express 3–5. They include neither sampling nor production, and the actual time depends on the route, customs clearance and final delivery. The quote names the service and the delivery point.

Ornaments are light and compact, so faster freight is often practical for a holiday run that started late. Sea freight suits large quantities ordered early, or ornaments shipping alongside other goods in a container you are already booking. When an order is close to its date, compare the freight cost of air or express against moving the in-hand date; the quote can show both.

## What to send so the schedule starts today {#what-to-send}

A complete first message is the quickest way to a dated schedule. Send:

1. Artwork for each design, with the cut outline and hole position.
2. Size, thickness, one or two printed sides, or engraving.
3. Quantity per design, and the name or year list if the text varies.
4. Ribbon or hook, and the packing format.
5. Delivery address or forwarder, freight preference and the date the ornaments must be in hand.
